Posts: 481 03/13/2008 10:31 AM North Carolina	The following post is our newly redesigned towing invoice. each time we re-order, we make some changes. my adopted administrative assistant, tracydi16 was gracious enough to help me do this. after she posts it, i will reply with some of the changes we made. thanks so much, tracy. i seem to be saying that alot, lately!! And the people at AAA really liked our California version and the Nevada Transportation Authority just approved our Nevada version. Posts: 493 03/14/2008 09:01 AM North Carolina	ok, i have pretty much given up on this. only trying to help. some of the changes we made are: put a section for a second vehicle, yr/make/model/vin/tag#and state/odo reading... we shaded the 10th digit of vin for easy year id... larger area for insurance adjuster info... added driveshaft removal in other services box... separate digit boxes for vin... separate digit boxes for credit card #s... spot for v-code... in the pricing area we put a spot for 2nd tow, admin fee, and payout... yes and no box for keys left and towable... put a line for frame fork in the type of tow box... thats about it... we fill out our tickets pretty completely. another change i will make next time is a box for hourly rate since we are charging wrecks and recoveries and some others by the hour. i can fax one to anyone. already faxed one to east coast auto. the 2nd vehicle info has been invaluable for things like 2 cars or pieces on one trip, dealer trades where you need to record info for both, stuff like that. thanks for being patient with my inability to do anything computer related. No signature is going to override you damaging something and not repairing it, even so why would you not fix damages you caused due to towing or an unlock. Around here the customers read before signing and they would literally tell me to leave if my ticket stated that on the bottom. I have had them tell me to leave because they didn't want to sign when they were requesting us to remove a vehicle on their property. Our removal forms said something similar to yours and we quit using them, simply because no one would sign them. We just have a form that says, removal was requested by:____________ now. If you damage it, you will be responsible anyway, what's the difference? As far as previous damages go, take pictures and document everything. I will try to post our invoice Monday.

Posts: 509 03/16/2008 02:06 PM North Carolina	our drivers write cc#'s on invoices, as we run them later in the office. when i take a cc# over the phone, i record it into the tracker software we use, in an area that doesnt show up on a printed hard copy. we also have a form for employees to sign saying they will never compromise a customers cc info or anything else related. If youve ever pulled up to a car holding up traffic during rush hour and the front wheel is gone. And the cop is saying get it moved and the owner is saying don t scratch the under coating. I say sighn or im not touching it. They allways seem to say "whatever you gotta do just get me outta here" till the next day . when thier asking for your insurance info

(only the last 4 and exp date) Look at any receipt you get at a gas pump, store, etc. it will only have the last 4 numbers and exp date I think this is to protect the customer in case they lose their copy. me

We just flip to the second copy and write the C.C. info and give them the top copy (without the numbers.) It works well for us. We have changed ours almost every order we make. All of our trucks are supplied with imprinters and the credit card information goes on the credit card receipt with the customer's signature, the invoice number, customer's address, and any other information needed to run the credit card. The only information on the invoice is the form of payment. Only the last four digits should be permanently on anything outside of the office. The credit card receipt should come back to the office as soon as possible. If I mail a receipt because I accepted a credit card over the phone, I make sure that only the last four digits are on the copy in the mail. I also designed my own invoice using a spreadsheet program, but then I had NEBS do the custom printing in booklets with 3 copies (white, yellow, and pink) and numbered. It is only a small fee ($10 I think) for any changes and they are fast with the reorders. I also have my booklets bound at the bottom instead of the top because my husband, who writes most of the invoices, is left-handed. The another item on my invoices is a block which says, "Paid in Full." We circle it at the time of payment and then it is clear whether it is a bill or has been paid. Without that we get calls from insurance companies wanting to know if the customer has paid us or if the insurance company has to pay us. With a bill, we give them the white copy only and file the yellow copy until we are paid. With a paid invoice, we give them both the white and yellow and tell them to forward the white original to their insurance company and keep the yellow for their own records. The pink copy stays in the book. I also have three spaces for signatures. 1) Customer (marked with an X), 2) To whom the vehicle is released, and 3) Our driver. I have a few lines for other information: weather or road conditions, vehicle situation and why it needed our services (VID, on its roof, electrical problem, engine failure, steering, brakes, prior damage, etc.), vehicle number for company vehicles (required for payment for Alaska Railroad vehicles), and those all important key words for insurance (vehicle was "not drivable" and was "towed to the closest point of repair" (This is important since with tows of over 100 miles, insurance companies often do not believe that we needed to tow it so far.) I sometimes get calls from insurance companies about a job and in most cases the information is actually on the invoice. I have two spaces for hook up charges (for secondary tows), two spaces for mileage charges for (enroute or secondary charges).
